Nivesh Sahayak App › Help › Accounts and final accounts
Staff, salary and loans
The App keeps your salary slips, advances to employees and loans in the books. A salary slip shows the salary as an expense and what is still owed to the employee and the government; each loan EMI is split into interest and the part that pays back the loan.
Step by step
- Make the salary slip. Open Staff, salary and loans › New salary slip (or the salary slip maker). Pick the employee: a saved employee fills the details and the usual pay. Press Work out PF, ESI, professional tax and TDS; it also fills Employer's PF (₹) and Employer's ESI (₹).
- Keep "Add to my accounts" ticked. Under Your accounts the tick is on for a new slip. Untick it only for a slip made for someone else. Slips saved before this box existed stay out of the books until you press Add to accounts on the Salary list.
- Take back an advance. Add a deduction line named Advance recovered. Give the advance first under Staff advances › Give advance.
- Mark the salary paid. Fill Salary paid on on the slip, or press Mark paid on the Salary list and choose the date and how it was paid.
- Pay what is owed to the government. The Salary list shows Still to pay: PF, ESI, professional tax and TDS. Pay them with Other income and taxes › Pay tax (or a payment voucher).
- Add a loan and pay EMIs. Under Loans press Loan: lender, amount, interest a year, number of EMIs and first EMI date. Tick Money received now unless the loan is already in the books from Capital and loans. Press Pay EMI: the split comes from the schedule; change it to what the bank statement shows.
Worked example
Ravi's October slip: basic ₹20,000 + HRA ₹10,000 = gross ₹30,000. PF ₹2,400 is cut and the employer adds its own PF ₹2,400; ₹1,000 advance is recovered. Net pay is ₹26,600. The books show salary ₹30,000 and employer PF ₹2,400 as expenses, PF payable ₹4,800, the advance cleared, and ₹26,600 salary payable until you mark it paid. A loan of ₹5,00,000 at 9% for 60 months has an EMI of ₹10,379.18; the first EMI is interest ₹3,750 and loan paid back ₹6,629.18.
Rules and dates
PF is 12% of basic pay up to ₹25,000 a month (employee) plus the employer's 12%; ESI is 0.75% (employee) and 3.25% (employer) when gross pay is ₹21,000 or less. Professional tax depends on the state. Check the rates with your accountant before filing.
Common mistakes and how to fix them
- Recording an advance to staff as an expense. An advance is money the employee still owes. Use Give advance, or the head Advance to staff on a payment voucher or petty cash book; it is taken back on a slip.
- Putting the whole EMI as loan repayment. Pay EMIs from the Loans list so the interest goes to the expenses and only the rest reduces the loan.
- The same salary twice. If you already enter salary as an expense, stop that once the slips go into the accounts, or untick Add to my accounts.
