Trial balance: styles and how to read it
The trial balance lists every account with its debit or credit balance. It is made from your saved bills, money entries, journal entries and fixed assets: nothing to type. When total debit equals total credit it says Agrees.
Step by step
- Open Final accounts. Menu › Final accounts; Trial balance is the first tab.
- Choose the period. This financial year, Last financial year, This month or Your own dates.
- Choose the Style. Closing balance (one amount per account) or Detailed: opening, transactions, closing.
- Choose Show. Group-wise (one line per group), Account-wise (customers and suppliers as one total) or Ledger-wise (each customer and supplier).
- Stock (optional). Tick With stock (opening stock in debit, closing stock as a memo line) for the classic layout.
- Print, Share PDF or Excel.
Worked example
Sample business: Total debit ₹1,16,421.20 = Total credit ₹1,16,421.20, Agrees. Capital (opening balances) ₹65,000 Cr, Suppliers you owe ₹7,700 Cr, GST payable ₹4,381.20 Cr, Sales ₹39,340 Cr; Customers who owe you ₹40,070 Dr, Bank ₹41,218 Dr, Cash ₹10,283 Dr, Purchases ₹15,000 Dr, expenses ₹9,850.20 Dr.
Common mistakes and how to fix them
- "Trial balance difference" is not nil. Usually an opening balance is missing or one-sided. Enter last year's closing balances as opening balances or one journal entry.
- Profit and loss accounts show last year's amounts. They show only the period. Balance sheet accounts show the balance on the last day.
