Cheques received and given
A cheque is not money until it clears. The Cheques screen keeps every cheque with its date and status, so the bank balance only counts cleared cheques and nothing is forgotten.
Step by step
- Open Cheques. From the menu. Tiles show Cheques not yet cleared, Your cheques not yet cleared, Post-dated and Bounced.
- Record one. Cheque received opens Money received with Paid by Cheque; Cheque given opens Money paid. Fill Cheque date, Bank of the cheque and Cheque status.
- Update the status. Received, not deposited › Deposited, not cleared › Cleared, or Bounced.
- Filter. All, Post-dated, Not cleared, Cleared, Bounced.
Worked example
Delhi Decor gives a cheque of ₹28,320 dated 15 November against invoice INV/26-27/S03. Record it on 6 November with Cheque date 15-Nov: it shows under Post-dated, and the invoice is marked paid by cheque but the bank balance does not change. On 18 November mark it Cleared: the bank goes up by ₹28,320. If it bounces, mark it Bounced: the invoice becomes due again by itself. Add the bank's bounce charges as an expense.
Common mistakes and how to fix them
- Marking a cheque Cleared on the day it is received. Keep it Received or Deposited until the bank shows the money.
